Manage Web Items in Tableau

The options given in this topic can be used to edit item descriptions or perform actions such as moving or renaming items on your Tableau site. The options that are available to you are based on your site role and permissions.

Access options:

The top of the page displays the item’s name and the owner or contact. Some pages may show additional information like a description of the item or the date the item was last modified.

Content options

You can use the below icons next to the item name to:

A: Add the item to your favorites.

B: View the item’s details.

C: Perform actions on the item.

How to add or edit descriptions?

Descriptions are used make it easier for everyone in your organization for finding the right items. If you have an item or have the required permissions, you can easily edit the item’s description.

How to describe projects, workbooks, and data sources?

  1. From the navigation pane, select the option Explore.
  2. Go to the project, workbook, or data source you want to describe.
  3. Click on the details icon i icon.
  4. To the right of About, click the option Edit.
  5. Type a description in the About field, then click on Save.

Describe metrics:

  1. From the navigation pane, select the option Explore.
  2. Go to the metric you want to describe.
  3. Mouse over the Description header and click on the edit icon that appears.
  4. Enter a description, then click on Save.

Describe flows:

  1. From the navigation pane, select the option Explore.
  2. Select the option All Flows from the drop-down menu.
  3. In the column Name, select the flow you which want to describe.
  4. On the Overview tab, click on the edit icon next to Description.
  5. Enter a description, then click on Save.

Describe databases and tables:

  1. From the navigation pane, select the option External Assets.
  2. Select Databases and Files or Tables.
  3. In the column Name, select the asset you want to describe.
  4. From the Actions (…) drop-down menu to the asset name’s right, select the option Edit Description.
Database Description
  1. In the About field of the dialog box Edit Description, enter a description, then click on Save.

Describe table columns:

  1. From the navigation pane, select External Assets.
  2. Select the Databases and Files or Tables.
  3. From the list, you can select the name of the asset with the column which you want to describe.
  4. On the table page, under the option Columns, select the name of the column.
  5. In the dialog box Column Details, select the edit icon available to the right of Description.

  1. Type a description in the field Description, then click on Save.

Access your content:

To see the content that you own, click on your profile image or initials at the top of the page, and then click on My Content.

Your options

The content page displays the user information and the content that you own. From this page, you can easily access your alerts, subscriptions, and account settings.

For the views that you own, you can see which users have looked at a particular view by selecting the option Who Has Seen This View?.

Perform actions:

Click checkboxes to select items, then click the Actions drop-down menu to access commands available for those items.

If you don’t have permission to perform an action on the item selected, the action will be disabled. If you select multiple items and do not have permission to perform an action on any one of the items that you have selected, you will get an error when you try to perform any action on that item.

Access the menu actions for the item you have currently opened by clicking the … available at the top of the page. This menu actions is disabled if you have checkboxes selected for other items on the page; instead, you can use the actions menu shown above for modifying checked items.

In the grid view, access the actions menu from the lower-right corner of a thumbnail.
